A SPREADSHEET-TO-PDF WORKED EXAMPLE
One guest changes. Update the whole set. Follow 12 fictional guests from a spreadsheet to folded place cards, per-table lists and meal totals. Cards show meal codes; the meal report gives the full meal names.
Choose “Try a 12-guest sample” to explore the same list. No account or payment needed.

In the demonstration, Emma Reed moves from Table 1 to Table 4, and her meal changes from chicken to vegan. The other eleven guests stay in the list.
Download a new ZIP. Emma’s card, Table 4’s guest list and the meal totals all use the updated list. Meal codes refer to the full meal names in the report. Use the new complete set so codes stay consistent.

| Version | Table | Meal |
|---|---|---|
| Original | 1 | chicken |

In the original export, M1 means chicken, M2 fish, M3 vegetarian and M4 vegan. In the updated export, M1 means vegan, M2 fish, M3 vegetarian and M4 chicken. Emma’s updated card reads TABLE 4 · MEAL M1. Codes follow the order meals first appear in the current list, so an edit can change the key for other guests too. Always use all files from the same export.

|---|---|---|
| chicken | 3 | 2 |
| fish | 3 | 3 |
| vegan | 3 | 4 |
| vegetarian | 3 | 3 |

Table 1 now has three guests: Oliver, Amelia and Sofia. Tables 2 and 3 still have four guests each. Table 4 has Emma and one vegan meal. The table lists and meal report show those same assignments.
These three PDFs were exported together from the current working tool using updated-guests.csv, the Alex & Sam event title and A4 paper. They are the free standard outputs, not the optional Plus files. No account or payment is needed to reproduce them.
Download the sample print checklist. PDF pages are 300 dpi images; their text is not selectable. Print one sheet at 100% / Actual size and check the 50 mm scale. Physical printer and paper results have not been verified.
To recreate the change yourself, open the tool, choose “Try a 12-guest sample”, edit Emma’s table and meal, then download a new complete pack. Replace every old file after an edit. Confirm the code key with your caterer; this is not an allergy-management system.
